How To Set Up Zapier Automations For Your Digital Signage With Fugo

What is Zapier?

Zapier is a powerful automation tool that connects your favorite web apps, enabling faster workflows and saving you valuable time.

With Zapier, you can automate repetitive tasks and integrate different applications without any coding knowledge. Whether you want to streamline sales processes, synchronize data between platforms, or something else entirely, Zapier helps you to eliminate manual work.

And now, it integrates with Fugo!

We understand the need to streamline & spend less time thinking about your screens....That's why we've integrated the Fugo platform with Zapier, giving you the ability to automate your content workflows and connect Fugo with your favorite applications, even if they're not natively integrated with us (yet.)

With Zapier + Fugo, you can publish your digital signage content by syncing it with other apps in your tech stack, ensuring a cohesive and efficient content management experience.

In this guide, we'll walk you through how to use the two tools together to:

  • Automate media replacement in Fugo

  • Automate playlist updates based on actions in 3rd party applications

  • Get creative with your connections between Fugo & your favorite work tools

Here's what you'll need:

  • A Fugo account - sign up or log in here

  • A Zapier account - sign up or log in here

Zapier accounts are free to set up and use, but will come with a few limitations based on which pricing plan you choose. You can learn more here.

Let's get started!

💡 Note: When using Zapier, an automation you set up between two tools is called a "Zap", which we'll be referring to throughout this article.

1. How to automate media replacement with Fugo & Zapier

One of the ways you can use Zapier is to automatically replace media files in your Fugo account, playlists, and screens.

When might you use this?

  • If you're consistently replacing media in your Fugo playlists

  • If you're creating new Fugo playlists for frequently updated media files

  • You want the rest of your team to be able to submit media for your playlists without signing into Fugo

What are some potential ways to use this?

  • Update daily or weekly menus that you've saved as image files without needing to manually republish them each time in Fugo

  • Update recurring things like daily or weekly reminders/announcements/tips

  • Create playlists with photos & videos shared by coworkers to Slack and Discord channels - to inject a little fun and personality into your digital signage content!

Here's how:

In this example, we're going to create a Zap to run between Discord & Fugo. My Zap is going to work by updating my playlist with a new image I've posted to a Discord channel.

Let's start by setting up the Fugo side first. I'm going to create the playlist that my Zap will update:

1.1 Log into your Fugo Account. If you don’t have an account yet, you can start your 14-day free trial here.

1.2 Navigate to your Playlists from the top navigation bar and then click Create Playlist.

1.3 Select your screen(s) and the content. Since our Zap is going to be replacing an image, we'll choose either an image from Media or some Studio Content as the starting media.

Click Preview to check your playlist and once you're happy with how it looks, click Publish.


Now that we've set up our Fugo playlist that has the image we'll replace via our Zap, we're going to go ahead and create the Zap.

1.4 Log into your Zapier account. If you don’t have an account yet, you can sign up here.

1.5 To keep things easy, let's use the New Message Posted To Channel In Discord + Fugo template:

The Trigger will be a new image being posted to a Discord channel, and the Action will be to update our pre-configured playlist with that new image.

💡 HINT: If you don't want to use any of the Fugo templates, you can always start a new Zap from scratch from your Zapier homepage. Just hit Create Zap and set whichever integration interests you as the Trigger in the Zap builder:

1.6 Click on the Discord trigger and log into your Discord account. When successful, the Zapier bot should join the Discord server.

1.7 Next, we'll choose the channel that will Trigger the change in media. Zapier will afterward perform a test where it should display the most recent message in that channel. We suggest posting a photo in this channel beforehand.

1.8 Now we need to configure Fugo. Click on the Fugo block and login. Choose the space that contains the media you want to replace and the media itself. Make sure to select Attachments Url, which will allow Fugo to recieve the image link from your Discord messages.

1.9 The Zapier test will try to replace the specified media with the URL of the image you posted in your channel.

1.10 You're ready to go! Zapier will listen to any new messages with image attachments and update your media.

2. How to automate playlist updates in Fugo with actions in 3rd party tools

When might you use this?

  • If you want to gamify some of your sales and work processes with TV screens

  • If you want to sync your digital signage playlists with 3rd party tools that Fugo doesn't currently integrate with

What are some potential ways to use this?

  • Celebrate sales or project milestones like closing a deal or finishing a project

  • Create alerts for your customer support or network admin teams

  • Create reminders before recurring meetings or events start

  • Shout out important dates like coworker birthdays and work anniversaries saved to your calendars

Here's how:

Let's start off with a simple example for updating playlists. We're going to create a Zap to run between Google Sheets & Fugo.

This is the sheet used in this example:

2.1 Log into your Fugo Account. If you don’t have an account yet, you can start your 14-day free trial here.

2.2 Click Playlists and and then the Create Playlist button on the top right of the page.

2.3 Select your screen(s) and the content you want to be displayed - this can be anything you like! The schedule is optional as this will be in part controlled by Zapier.

Click Preview to check your playlist and once you're happy click Finish Later.

2.4 Now we've set up the Fugo side, log into your Zapier account. If you don’t have an account yet, you can sign up here.

2.5 To make things easier, let's use this template. If you'd like, you can start from scratch and choose whichever integration interests you from this page.

2.6 Click on the Google Sheets block and log into your Google account on Zapier. Next, we need to choose the Trigger that will publish our playlists.

Select the spreadsheet, worksheet and the column you'd like Zapier to detect changes in. For this example, Zapier will listen to updates in the "Closed?" column.

2.7 Zapier will now perform a test where it should display the most recent change in the selected Google Sheet. Once you've verified Zapier is reading the sheet correctly, we can move onto the Fugo section.

2.8 As we did for the Sheets block, log into your Fugo account on Zapier. Then select the playlist and the space it is in. Make sure the chosen command is set to Publish.

2.9 Zapier will attempt the test, which is publishing the chosen playlist to the screen we specified earlier. Once the test has succeeded, the last thing we recommend doing is publishing the playlist that was published during this test.

2.10 You're ready to go! Zapier will listen to any changes within the specified column and then publish the playlist once a change occurs.

Note Some integrations take longer than others to update - depending on which integration you chose as your trigger, it may be instant or take a few minutes for Zapier to detect a change.

Extra The free tier of Zapier only allows single-step zaps. For those with premium plans you can set up automatic unpublishing of the playlist within the same zap.

3. Get creative - set up your own Zaps!

There are over 5,000 partner apps available on Zapier, any of which can be used in combination with the Fugo app in some form or another. That makes the possibilities almost endless.

To go further & make this tool more useful for your teams, you can select a trigger from any integration available in Zapier to trigger a playlist update in Fugo. As long as the playlist you want to update has been preconfigured in Fugo, you'll be good to go.
