Digital Signage Overrides: When & How to Take Over Screens

Managing content across multiple digital signage screens is a breeze with a powerful content management system (CMS) like Fugo. But what happens when you need to interrupt your scheduled programming and display urgent, timely content? Fugo gives you the ability to override your existing playlists and instantly take control of your screens through a few key features:

  1. Priority takeover playlists

  2. Zapier automations

  3. Instant wireless screen mirroring

These come in handy for those situations when you need to get content on your screen *now* without going through a complicated song and dance:

  • Pushing urgent company announcements like policy changes or office closures

  • Displaying last-minute updates to event schedules or room changes

  • Switching screens into presentation mode for meetings or town halls

  • Celebrating employee wins like birthdays, work anniversaries, or awards

  • Motivating sales teams by showcasing closed deals and new customers in real time

  • Promoting time-sensitive information like same-day promotions or flash sales

  • Broadcasting internal emergencies or weather alerts to employees

  • Showcasing employee generated content like social media posts

  • Displaying personalized messages for employees, guests, or visitors

Option 1: Create a Priority Takeover Playlist

Need a way to instantly take over your digital screens with an urgent message or announcement? Fugo’s priority takeover feature allows you to interrupt regular content with a special high priority playlist.

What is a Priority Takeover Playlist?

A priority takeover playlist will immediately publish and display on your screens when triggered, pausing any other playlists that are currently playing. It essentially lets you “takeover” your screens with time-sensitive information that needs to be seen right away.

How to Create a Priority Takeover Playlist

  1. Log in or sign up for a Fugo account here.

  2. Navigate to the Playlists page and click Create Playlist. Alternatively, choose Playlist from the Create dropdown menu.

    This will launch the Playlist Builder.

  3. First, give your playlist a name - something relevant that tells you what this playlist is about.

    I'll name mine "New Sale - Emily Mortimer" because I'm going to enable this playlist to take over my screen with a congratulatory slide each time my Sales representative Emily closes a new deal.

  4. Next, click Select Screens to choose the screen/s that you want this playlist to be published to.

  5. Next, click Choose Content to build your playlist with the content you want to display. This can be uploaded media, apps, dashboards, or custom layouts created in the Design Studio.

    For this example, let's use a slide I've created to congratulate my Sales team member Emily on closing a new deal.

  6. Now with your screens & content chosen, we need to designate this playlist as a Priority Takeover Playlist.

    Under Schedule, choose 'As a priority takeover' from the dropdown menu. This enables the takeover functionality.

  7. Finish curating your playlist and click Save (Note that when you change the Schedule to ‘As a priority takeover’, the Publish button changes to Save.)

  8. Upon saving, you will be taken back to the Playlists page where you will see your newly created priority takeover playlist is now ready to display.

    When you want to activate your announcement, you simply need to click Play Once or Loop on this playlist and it will immediately take over your screens until you unpublish it.

💪 For Power Users

You can even automate publishing your playlists with triggers from external tools. Either by using our REST API or setting up triggers in Zapier between third party tools & Fugo - for instant alerts and notifications on screen.

For example, if I wanted to automate my "Congrats Emily" slide to play on screen each time she closes a deal, I could set up a Zap to run between my CRM (such as Salesforce or Hubspot) that triggers this slide when she marks a deal as "Won" or "Closed".

Option 2: Trigger a Priority Takeover Playlist in Fugo with Zapier

Need to quickly display urgent messages or announcements on your digital screens? With Zapier, you can automatically trigger priority takeovers in Fugo from external tools to interrupt your regular playlists. Here’s a quick overview of how it works.

What is a Priority Takeover Playlist?

In case you missed it above ☝️ a priority takeover is a special playlist in Fugo that will immediately publish and take over your screens when triggered, interrupting any other content that is currently playing. It’s perfect for those “all hands on deck” type of announcements

You can follow the steps in the previous section to set up your priority takeover playlist & manually trigger it. Or refer to the steps below to set up an outside trigger with Fugo's Zapier integration.

Set Up Your Fugo Zap

The setup to automatically trigger a takeover playlist from Zapier does require several steps, which we cover here in more detail. But in general you will need to:

  • Create your priority takeover playlist in Fugo and make sure to enable the “Priority Takeover” setting. Alternatively, you can create a normal playlist, publish it, then unpublish it so it's on standby.

  • In Zapier, choose an integration like Slack, Google Sheets, Hubspot, etc. as your trigger. This is how you will determine which external action will trigger your playlist.

  • Connect your Fugo account and configure it to publish your priority playlist when the trigger occurs.

Option 3: Cast Your Computer Screen to a TV Using Fugo

Ever need to quickly share your laptop screen during a meeting or presentation? Fugo makes it easy to wirelessly cast your browser tab, window, or screen to a TV with just a few clicks.

What is Cast to Screen?

Fugo’s Cast to Screen feature allows you to mirror your Windows or Mac laptop, desktop, or tablet to a TV screen. It works by streaming your computer screen over the internet to displays connected to Fugo.

This allows you to easily share presentations, video conferences, virtual whiteboards, or collaborate on documents by casting your screen. No cables, adapters, or complex setup required.

How to Cast Your Screen from Fugo

  1. First, make sure your screen is paired to the Fugo platform. See our Hardware Help Center collection for instructions on pairing your selected hardware to Fugo.

  2. In the Fugo CMS, navigate to your Screens page the screen you want to cast to and click on it to open its dashboard.

  3. In the top right of the dashboard click Cast to Screen to launch the casting feature.

  4. A window will pop up letting you choose what to cast - your entire screen, a specific app window, or browser tab. Select your option then click Share.

  5. Your computer screen will now be cast on your TV to share your presentation, video call, or collaborate with your team.

  6. When you’re done, simply click “Stop Sharing” and your Fugo playlist content will resume playing on the TV.

Quick Casting Role

You can also create a 'Quick Caster' role in Fugo to allow certain people to cast their screen without accessing your wider account.

In the Roles tab of your Account page, create a role and toggle on the "Quick cast to screens" permission.

💡 Note: The 'Quick Caster' role is a pre-configured role in every Fugo account by default. However, on the Essential plan, you will not have the ability to edit that role's permissions.

To be able to customize permissions for your roles, you'll need to upgrade to the Core plan.

Or talk to the team about our Enterprise plan if you want to be able to create custom roles with custom permissions.

You can invite users from the People and Spaces tab in your Accounts page.

When you go to invite your new user/s, select the 'Quick Caster' role from the dropdown.
