Fugo & your Outlook calendar

The Outlook Calendar app is part of Fugo’s TV Dashboard feature set, designed for securely displaying internal dashboards and web links from password-protected tools on digital signage screens.

With this app, you can connect a Microsoft calendar and display it for your team — ideal for daily standups, meeting room schedules, shift planning, PTO calendars, or visualizing hybrid work rotations.

Fugo uses encrypted cloud authentication to log into your Outlook account, capture a secure snapshot of your calendar, and deliver it to the Fugo player on your screen. Your login credentials are stored securely and never exposed on the device or in public URLs.


Best practices for using Outlook with Fugo

Before you jump into setup, here are a few things we recommend doing to ensure your dashboard display is secure and reliable:

1. Create a service account:

We recommend setting up a service account within your Microsoft 365 tenant with read-only access to the calendars you want to display.

This limits risk and avoids unnecessary alerts or two-factor authentication issues tied to personal accounts.

Get a Secret Key from Microsoft

To securely connect your Outlook Calendar to Fugo, you'll need to set up two-factor authentication (2FA) with Microsoft Entra and obtain a Secret Key.

This key allows Fugo to authenticate with your Microsoft account and access your calendar without requiring constant re-logins.

Here's what you'll need:

  1. Service account: Create a dedicated Microsoft account with read-only access to the calendars you wish to display. This minimizes security risks and avoids potential issues with personal accounts.

  2. Authenticator app: Install an authenticator app (such as Microsoft Authenticator) on your device. This app will be used to generate verification codes during the 2FA setup process.

  3. Secret key: During the 2FA setup, you'll obtain a secret key from Microsoft. This key is essential for Fugo to authenticate with your account.

Steps to obtain your secret key

  1. Access your Microsoft account security settings:

  2. Set up two-step verification:

    • In the Additional Security section, turn on Two-step verification.

    • Follow the prompts to begin the setup process.

  3. Configure authenticator app:

    • When prompted to choose a verification method, select An app.

    • Click on Set up a different Authenticator app.

  4. Obtain the secret key

    • A QR code will be displayed. Instead of scanning it, click on I can't scan the barcode.

    • This will reveal the secret key. Copy and save this key securely, as you'll need it during the Fugo dashboard setup.

    • Use the code in your chosen authentication app and verify the code so the 2FA TOTP system gets activated.

  5. Disable other verification methods

    • To ensure seamless authentication with Fugo, remove any other verification methods (such as phone numbers or email addresses) from your Microsoft account. This prevents conflicts and ensures that Fugo can authenticate using the secret key without interruptions.

Once you've got your secret key, copy & save it somewhere secure. You’ll paste this key into Fugo during the setup process (step 7 below).


Configure your calendar in Fugo's Outlook app

With your secret key saved, you're ready to connect your calendar in Fugo!

💡 Note: If you want to see your calendar on screen at the end of configuration, make sure it's connected to Fugo CMS. If you haven’t connected your screen(s) yet, you can find the instructions for your preferred device in our hardware collection.

1. Log into your Fugo Account. If you don’t have an account yet, you can start your 14-day free trial here.

2. Click Dashboards in the top navigation bar to go to your Dashboard library. If you have not created any dashboards yet, this page will be empty.

Click Create Dashboard to get started.

3. This will launch a New Dashboard window.

4. Select the Outlook Calendar app.

5. Select your desired calendar view from the dropdown (Day, Work week, Week, Month).

6. You'll be prompted to log into Outlook.

7. Enter your Microsoft Outlook username, password, and secret key

8. When all your credentials have been entered, click Create.

9. You’ll see a “loading” screen while Fugo logs into your Outlook account and captures a preview of your calendar.

This can take some time, so don't sweat it if it takes a minute or two!

10. Viola! Your calendar preview will appear in the app window.

⚠️ If your Calendar preview wasn't generated & you see an error message, we recommend that you click Edit in the window & use the Advanced Settings guide to troubleshoot your dashboard. There are a few common errors these settings can help you fix!

11. Click Save to save your calendar.

12. Your calendar will now be saved in your Dashboards library. By default, we'll set its refresh interval to once per day.

Customize your calendar display in the Design Studio

Some Outlook calendar views might include more detail than you want on screen - or not enough clarity from a distance. That’s where the Design Studio comes in.

You can:

  • Crop the calendar display to focus on specific times or events

  • Add logos, headlines, QR codes, or ticker text

  • Embed other apps (e.g. Weather, News) to make your slide more dynamic

In short, you'll need to:

  1. Add your calendar to your Design Studio slide canvas.

  2. Use the crop tool to crop the elements you want displayed on screen.

  3. Use the graphic design elements in the Studio (media, app widgets, text tickers, QR codes, etc) to embellish your slides and set the look & feel of your layouts.

A few ideas of customizations you may want to make are:

  • Add your company logo to your calendar slides

  • Incorporate other apps & integrations into the display, such as the World Clock app or CNN app to grab attention with live updating headlines.

  • Add QR codes to your display to create calls to action for your colleagues pertaining to your calendar or workflows.

  • Add text boxes with important messages, reminders, or requests pertaining to your calendar

Publish your calendar to your screen/s

You'll find all your saved calendars in your Dashboards library:

If you want to get a calendar on screen right away, you'll need to add it to a playlist.

1. Navigate to the Playlists page in the top navigation bar. Click Create Playlist.

2. After naming the playlist & choosing the screens it will display on, you'll pick your calendar from the Dashboards tab of the content picker.

If you created a custom slide using your calendar in the Design Studio, then it will be found in the Studio Content tab.

3. Your calendar is now added to your playlist, ready to be published right away or scheduled for a certain day or time using the scheduler.

To add another calendar or dashboard to this playlist, click Add More Content and repeat your steps to add another calendar, dashboard, studio content, or app.

To change your calendar's duration - that is, how long it will display within a playlist of multiple content items - edit the duration field (in seconds).



Edit your calendar - advanced settings

Clicking on your calendar in the library will open it in the dashboard editor.

From here you can:

  • Change the Refresh Interval of your calendar. That is, how often it updates on your screen/s.
